Configure Reward feature

The Configure Reward page allows the Administrator to add reward categories, nomination types, approval workflows, reward denominations and add values/attribute that illustrate the organization’s core values. Also, admin can add a list of email addresses or select an existing mailing list which are carbon-copied (CC'd) while an email is triggered.

How to activate the Reward Feature?

Reward feature allows an administrator to set various categories of employee rewards and recognition. To activate the Reward feature:

  • Login to the Thanks application.
  • On the right side of the page, click Admin > Platform Setup > Configure Features.
  • On the Reward card section, click Activate button.
    Please note that Reward feature could be already active for your company in which case the administrator need not take any further action.

Deactivate Reward Feature

  • Login to the Thanks application.
  • On the right side of the page, click Admin > Platform Setup > Configure Features.
  • On the Reward card section, click De-Activate button.

How to setup a Reward?


  • Login to the Thanks application.
  • Click on Admin > Platform Setup > Configure Features.
  • On the Reward card section, click on Manage link.
  • Click on the Actions icon on the right hand corner and click on + Add New Reward link and enter the below details to create a new reward:
    • Reward Category: Select the type of recognition from the dropdown list. The following reward categories can be selected:
      • Birthday Bonus: Show employees that you care and remember them. A small gesture for birthday goes a long way in increasing the employee engagement.
      • Customer Success: Frequently recognizing employees for their superior service to customers increases employee loyalty which in turn increases customer retention. Recognize those stars who delight your customers.
      • Leadership Recognition: Recognition from business leaders is aspirational for any employee. Recognize the star performers who make significant impact on the business metrics.
      • Career Anniversary Milestone: Celebrate , cherish, create memories. Recognize employees for their long years of contribution to your company's success.
      • Manager Recognition: Instant recognition coming from the direct manager is most impactful. Recognize team members who walk the extra mile.
      • Quality Recognition: Quality of service or product is a measure of the price differential earned by competing enterprises! Recognize the quality leaders who add that extra value to your product/service.
      • Safety Recognition: Safety of employees shows how much you value them. Recognize those stars put always put safety first.
      • New Joinee Recognition: Catch them young! Recognize new joiners who perform.
      • Team Recognition: Celebrate small achievements frequently. Recognize teams that move the needle, everyday!
    • Reward Name: Enter the reward name for the category selected.
    • Is it a Team Reward?: If you wish to give this reward to a team, activate this button.
    • Is it an Offline Reward?: An offline reward does not points for redemption. Sometimes, the actual physical rewards are given in townhalls, events etc. However, the platform is used to source nominations, use approval workflows etc.
      Activate this button if you wish to give an offline reward.
    • Reward Badge: Badges get attached to the profile of an employee and also help distinguish each reward. Click on Upload button, choose the file and upload an image (of maximum size 500 KB and 250x250 px) as the badge.
    • Click on Create Reward button.

How to setup budget deduction for a reward?


  • Login to the Thanks application.
  • Click on Admin > Platform Setup > Configure Features.
  • On the Reward card section, click on Manage link.
  • On the Reward name click on Action icon on the right hand corner against the reward name.
  • On the Basic tab, enter the below details:
    • Deduct Budget From: Select the type of budget from the dropdown list. The following budget types can be selected:

      Note: This section is only to link rewards to budget pools. Please refer to Budgets section on how to setup reward budgets.
      • Budget from Company Pool: Company pools are used for reward categories like Career Anniversary Milestone, Birthday Bonus, Quality, Safety rewards etc.
      • Budget from Reporting Manager: Typically used for instant recognition by line managers.
      • Budget from Tagged Group: This budget pool type is used for leadership recognition or similar aspirational rewards awarded by business heads.
    • Reward Expiry Days: Enter the number of days after which the reward points issued to employee would lapse/expire. Defaulte to 365 days.
    • Click on Save button.

How to setup nomination flow for a reward?


  • Login to the Thanks application.
  • Click on Admin > Platform Setup > Configure Features.
  • On the Reward card section, click on Manage link.
  • On the Reward name click on Action icon on the right hand corner against the reward name.
  • On the Nomination Details tab, enter the below details:
    • Allow Self Nomination: Click the check box if you wish any employee to nominate himself/herself for the reward. Typically used for Innovation, Corporate Social Responsibility or Voluntary Work rewards.
    • Allow Document Upload: Click the check box if you wish the nominator of the reward or issuer of the reward to upload a supporting document like customer email, pdf, excel, ppt etc. as a justification for the nomination.
    • Reward Frequency: Select from the dropdown list of options Monthly/Quarterly/Semi Annually and Annually.
      Note: Select the option none for adhoc or offline rewards.
    • Label and Sub Label Values: Once you select reward frequency, for example, Quarterly, the details of the year and quarters in that year can be added using label and sub label values.
      For example: Quarter 1, 2020, Calendar Year.
    • Click on Save button.

How to setup approval workflow for a reward?


  • Login to the Thanks application.
  • Click on Admin > Platform Setup > Configure Features.
  • On the Reward card section, click on Manage link.
  • On the Reward name click on Action icon on the right hand corner against the reward name.
  • On the Approval Workflow tab, enter the below details:
    • First Level Approval: Select from the dropdown list of options - Manager/Budget Group Owner/Super Admin.

      Below is the description for the workflow options:
      • Approval by Reporting Manager: This option will trigger reward approval to the skip level manager of the person nominating the reward.
      • Approval by Budget Group Owner: A nomination is sent to Business Unit Head who typically owns the reward budget for his/her business unit or function.
        Typically used for aspirational rewards under the Leadership Recognition category of rewards.
      • Approval by Super Admin: Used for offline reward approvals, adhoc or one time rewards, this option will send the approval for nomination to the administrator.
    • Second Level Approval: Select from the dropdown list of options - Manager/Budget Group Owner/Super Admin.

      See below some examples of commonly used workflow combinations:
      • Instant Recognition by Line Manager with No Approval:
        "None" option selected in both first and second level approval dropdown list.
      • Auto Approval for New Joinee, Birthday, Career Milestones etc:
        "None" option selected in both first and second level approval dropdown list.
      • 1 level approval for for Monthly rewards like Team Recognition, Customer Success Recognition:
        "Reporting Manager" option selected in both first and "None" option selected in second level approval dropdown list.
      • 2 level approval for for Quarterly/Semi-Annually rewards like Leadership Recognition:
        "Reporting Manager" option selected in both first and "Budget Group Owner" option selected in second level approval dropdown list.
      • Approval by Super Admin: Used for offline reward approvals, adhoc or one time rewards, this option will send the approval for nomination to the administrator.
    • Click on Save button.

How to configure message recipient list to a reward?

Configure the automated email notifications by adding a list of the email addresses. The email addresses are added in the carbon-copy (CC) section. Delivers a copy of the email when an employee uses the feature.

For example: If the Administrator has configured Keith Smith email address in the CC Configure section and selected Recipient RM checkbox. Whenever his reportees use this feature a copy of recognition email is sent to Keith Smith.

To configure cc email address:

  • Login to the Thanks application.
  • Click on Admin > Platform Setup > Configure Features.
  • On the Reward card section, click on Manage link.
  • On the Reward name click on Action icon on the right hand corner against the reward name.
    n the Message Recipients tab.
  • Select the required checkboxes to whom a copy of the email must be delivered.
    For example: If the Administrator has selected Recipient Team Members checkbox. The recipient team members are included in the mailing list and a copy of the mail will be delivered to them.
  • Enter the carbon copy (CC) email address and then press Enter or click Add.
    Repeat above step to add multiple email address.
  • Click Save button.
  • Optionally, click the X icon next to the email address to remove from the email list.

How to add company values and badges for a reward?

Reward issuers or nominators can select the values/attributes while nomiinatinf for a reward. While adding the values/attributes make sure that the values are in line with the organization's culture and values. To add an attribute:

  • Click on Admin > Platform Setup > Configure Features.
  • On the Reward card section, click on Manage link.
  • On the Reward name click on Action icon on the right hand corner against the reward name.
  • Click Add company values and badges.
    Attributes which are added previously will appear or else it will be blank.
  • Click Add New Attribute button.
  • Enter name and description of the attribute and then click Save.
  • For Example
    • Name: — Outstanding Performance.
    • Description: — When the employee has performed an awesome job or performed beyond the expectation.
  • Select the Add eCard checkbox to add an eCard for the attribute and then click Save.
  • A popup to add eCard will appear.
  • eCards provide hundreds of fun and creative ways to celebrate an accomplishment. An eCard is the interactive personal experience which encourages the effort of the employees in the organization. To add an eCard:

    • On the pop-up click Upload Image.
    • Navigate and select the eCard and then click Upload.

How to add denominations for a reward?

Denomination for a reward is the exact monetary value you wish to give an employee in each country. For example, USD 10 in USA, SGD 20 in Singapore etc. To add a denomination:

  • Click on Admin > Platform Setup > Configure Features.
  • On the Reward card section, click on Manage link.
  • On the Reward name click on Action icon on the right hand corner against the reward name.
  • Click Denomination tab.
    Denominations which are added previously will appear or else it will be blank.
  • Against each country where your employees are located, enter Monetary Value in the denomination field against that country.
  • Click on Update Denominations button.
