What are the various types of budget pools?
Below are the main types of budget pools:
- Company Budget Pool: Company budget pool is the total budget for the reward program at your company. reward categories like Career Anniversary Milestone, Birthday Bonus, Quality, Safety rewards etc.
- Team Budget: Typically used for instant recognition by line managers.
- Group Budget: This budget pool type is used for leadership recognition or similar aspirational rewards awarded by business heads.
Note: A tagged group can be a business unit or a function or a department or an adhoc name for example Innovation Reward Budget.
How to setup company budget pool?
- Login to the Thanks application.
- Click on Group Budget link.
- By default, a group in your company's name is created on signup. click on the Update Budget icon on the right hand corner against that pool.
- From the Select Operation dropdown list, select Allocate Budget option.
- Enter the amount of budget in the Amount field.
- Click on Send Mail radio button to trigger notification to the budget owner.
- Click on Update Budget button to add the budget.
How to setup group budget pool?
- Login to the Thanks application.
- Click on Group Budget link.
- Click on Create New Group button and enter below details:
- Group Name: Enter the name for your group. For example, Human Resources, Marketing, Finance etc.
- Is that a parent group?: Select "No" option.
Note: Option 'No" means that the pool is meant for a specific business unit or department. - Group Owner: Every budget pool must have a budget owner who is the owner for the budget and has the access to approve nominations, view utilization and analytics at the group level.
- Choose Parent Group: Select the name of your company as the parent group name.
- Click on the Create Group button.
- Once the budget pool is created, click on the Update Budget icon on the right hand corner against that pool.
- From the Select Operation dropdown list, select Allocate Budget option.
- Enter the amount of budget in the Amount field.
- Click on Send Mail radio button to trigger notification to the budget owner.
How to setup team budget pool?
- Login to the Thanks application.
- Click on Team Budget link.
- Click Actions icon on the top right hand corner and select Update Budget link.
- In the Transfer to: field, search and enter the email of the manager you wish to allocate the budget.
- In the Transfer from: field and for fresh allocation, leave this field blank. For transfer from one manager to other type name or email.
- In the Allocate Points: field, enter the amount of the budget you wish to allocate to the manager selected.
- Click on Update button. Note: The budget amount allocated to a manager will be automatically deducted from the Company budget pool.
Other budget management features
Below are some more ways of managing reward program budgets:
- Group Budget > Bulk Update Admin: Every budget group can have a budget admin in addition to the budget owner. The administrator can assign admins for budget groups in bulk by downloading a sample file format and uploading the details.
- Group Budget > Resigned Group Owners: The administrator can view the budget owners who have attrited the company. Updating the new budget owners in place of resigned owners is important as the reward nominations pending budget owner approval need to be redirected to the new budget owner. groups in bulk by downloading a sample file format and uploading the details.
- Group Budget > Bulk Upload Budget: The administrator can upload the group budgets in bulk by downloading the sample file format and uploading the details.
- Group Budget > Group Name > Budget transfer history: icon allows the administrator to view the allocation and transfer history of budget for each budget group.
- Group Budget > Group Name > Edit Group: icon allows the administrator to add or delete budget admins, budget owners, change group tagging for one or more users.
- Team Budget > Bulk Upload Budget: The administrator can upload the team budgets in bulk by downloading the sample file format and uploading the details.
